Our Client is looking for a Real Estate Office Administrator/Support to join their team.
Position Description:
The primary duties for this position include support for agents, clients, management, and peers.
Duties & Responsibilities:
- Answer telephones using a polite and professional telephone manner – problem-solve agent and customer issues in a friendly way
- Support agents/brokers with any questions or concerns; responding in a timely manner
- Confirm appointments, input messages using Broker Bay, answer email queries, etc.
- Learn and understand branch job descriptions and how the Branch functions on a day to day basis
- Assist administration and deals team in acquiring the necessary paperwork from agents
- Provide Quality Assurance for agents paperwork
- Ensure all forms requiring a manager’s signature are complete and compliant
- Scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into Skyslope
- Prepare offers, amendments, waivers, and other related forms/ documents
- Provide leadership for staff in demonstrating and promoting the highest level of customer service for our agents and their clients
- Prepare deposit slips for the Trust, Commission Trust, and General Accounts
- Manage the new agent on-boarding process, submit applications and coordinate with other departments to have the agent completely onboarded
- Add new agents to the website, provide them with their login credentials
- Inform other offices of new agents and inform new agents about the orientation process
- Maintain office supplies, beverages, physical appearance, and technology
- Arrange for maintenance of office when needed ie: lavatories, heating and air conditioning, lighting – escalate major repairs immediately.
- Inform agents of their membership renewal dates prior to the expiration
- Investigate, organize and follow up on specific projects or proposals as requested by the Broker of Record and/or Branch Manager
- Participate in meetings
- Build an inclusive and positive, engaged office culture
- Promote and encourage all Realtors at the Branches to participate and attend all company events and training courses
- Generally, be present in the branches and take on a leadership role
- Participate in the implementation of the company’s recruiting, retention & educational projects
Qualifications:
- Superior interpersonal/customer service skills, including excellent telephone manner
- Work experience in the real estate industry an asset
- Working knowledge of MS Office (Word and Excel), email, and internet
- Experience using SkySlope, BrokerBay, and Lone Wolf an asset
- Highly organized, with the ability to multi-task
- Excellent organization & time management skills
- Detail-oriented and focused with demonstrated initiative and creativity
- Dedicated team player
- Professional appearance and demeanor
- Excellent written communication skills
- Technically savvy with an ability to learn new software and technical tools quickly
