Phelps is an executive search and leadership advisory firm headquartered in downtown Toronto. We’re looking for a black belt Operations & Projects Coordinator to join our small-but-mighty practice. As the right person for the role, you’re resourceful and relentless — dare we say obsessive — when it comes to everything operations. You have excellent written and spoken communication skills, the better to engage with our partners, clients, candidates, and colleagues. You eat complications for breakfast, and you understand the balance between initiative and patience.


The Operations & Projects Coordinator is a key member of our team and supports management by optimizing processes and leveraging technology. You drive projects on deadline, while ensuring quality and accuracy. If you’re positive, energetic, solution-oriented, creative, hungry to learn and game for any challenge, you’ll fit right in.


The successful candidate will want to contribute to Phelps’ long-term success by:


  • Handling a broad range of complex operations tasks
  • Proactively recommending and implementing changes that improve efficiency and reporting
  • Collaborating with team members to keep on top of multiple projects, while juggling competing priorities, deadlines, and deliverables
  • Leading a cross-functional team
  • Tracking and managing team commitments to deliverables and timelines
  • Managing meeting rooms and audio-visual equipment
  • Encouraging the usage of digital platforms to support the tracking and completion of projects
  • Filing and archiving documentation to make it readily accessible
  • Providing support as required


Strong candidates will have:


  • A minimum of 3-5 years experience in an operations role requiring strong project coordination
  • Experience in a professional services or client-driven environment
  • Superior communication, attention to detail, and organizational skills
  • Experience working across an organization at all levels and an ability to manage competing priorities
  • Fluency with Microsoft Office Suite and databases, with particular proficiency in InDesign and Publisher
  • Strong command of technology to manage day-to-day assignments
  • Willingness to learn new systems and processes to drive improvement
  • Ability to work well autonomously, as well as collaboratively with a team
  • Confident professional writing skills
  • Proactivity to initiate tasks and dedication to complete them
